NPWS Native Animal Keeper Electronic Fauna Record Book
All licensed native animal keepers are required to maintain a fauna record book and lodge it with the Department’s Wildlife Licensing and Management Unit by 30 April each year.
Up until now only paper based books have been available. Now, an easy to use internet based fauna record book is available to all current licensees who have email. All licensees will still be required to lodge their annual holdings by April each year. However, this can now easily be done using the e-book system which will save on postage and handling costs.
Using the e-book
The e-book provides licensees with a fast and efficient way of managing your animal holdings and all the transactions that take place each year. Simple instructions on how to use the system are provided at the top of each screen. A user guide is available on the home page of the e-book.
The important things to know about the e-book are that you are in control of managing all the personal information, contact details and fauna holdings relevant to your licence and only you and the Department’s Wildlife Licensing and Management Unit can view your personal information, contact details and fauna holdings. Once registered, you will no longer need to also maintain a paper fauna record book.

Frequently asked questions about the e-book
I could not register or login onto the system!
Only persons who hold a current Animal Keepers Licence can register on online account. Please check your details, especially your email address, are the same as those originally provided to the Department and try again. If you are a new licensee your details may not yet be in the system. Contact the Wildlife Licensing and Management Unit and provide your date of birth, AKL number and confirm your preferred email address. Once verified, you should be able to register an account within two working days.
If you have already registered, please keep your password in a safe place. The system will email you another password if you have forgotten your old one.
I have registered for the first time and my data is not in the system. Is there something wrong?
Do not be concerned. Your previous records have not been imported into the system and hence everyone who initially registers will be starting with an opening balance of 0 (zero) species.
For persons who were licensed before April 2013 and who have not already electronically lodged records with the Department, this will mean establishing an opening account of species and individuals you held on 1 April 2012 - the first date of the current reporting period. Wildlife Licensing and Management Unit retains all your old Fauna Record Book information and does not require you to re-enter all the details of previous reporting periods.
How do I start to add records/transactions about my species?
When you first register, you need to enter your species in the 'My Species and Records' screen using the add new species button. Then you will drill down into the species record by clicking in the view and edit button (looks like a piece of paper with a dog ear). The name of your species will appear at the top of the screen. Scroll down to the records table and click on add new record. This will open the 'Add Record' screen where you enter your individual yearly transactions.
As stated, persons who have been licensees prior to April 2013 and have not previously lodged their records electronically, will need to start their animal keeper account with an opening balance. This is the carryover you had from the previous 2011-2012 fauna record book year that ended on 31 March 2012. The values '1/4/2012' and 'opening balance' will automatically appear in the date of receipt or disposal and method of receipt or disposal fields. Apart from the number of individuals you held on that day, no other information for these animals will be required. This is because we already have this information in your previously supplied (paper) fauna record book. Press Save to end the transaction.
If you were given another animal in May 2012, click on 'add new transaction' button again and then enter the full details of how you acquired that animal and then press save again. In this way, you are building up a record of all your transactions during the 2012-2013 reporting period.
Those persons who were granted a licence after 1 April 2012 can simply enter the exact dates you acquired and disposed of your individual animals.
Your summary table will give you an ongoing tally of the number of animals of that species you have in your possession.
Do I use the book all the time or just at the end of the reporting period?
It is a condition of your licence to keep a true and accurate record of your holdings. Regularly maintaining your books will also allow you to better manage your hobby.
Why do I have to lodge my fauna records with the Department?
It is a condition of your licence to keep a true and accurate record of your holdings and to lodge it with the Department’s Wildlife Licensing and Management Unit between 1 April and 31 May of each year. Lodgements cannot be accepted electronically before or after this time.
Late lodgements may result in a penalty.
Do I still need to lodge even if I have not got any animals or changed my holdings since last year?
Declaring your records is a condition of your licence, even if you have no animals or there has been no change to your holdings.
